This policy explains how OLB Installations ("we", "us", "our") collects and uses your personal data when you visit our website, create an account, or book a consultation, and how we keep it safe.

Who we are

OLB Installations is a smart home installation and automation business based in West Yorkshire, serving Ilkley, Leeds, Harrogate and the wider Yorkshire area. For anything to do with your data you can reach us at Info@olbinstallations.co.uk or on 0333 567 1139.

We are the "data controller" for the information described in this policy, and we handle it in line with UK data protection law (UK GDPR and the Data Protection Act 2018).

What we collect

We only collect what we need to respond to you and deliver our service:

• Account details — your name, email address, phone number (if you give it) and a password, which is always stored in an encrypted (hashed) form we cannot read.
• Booking details — the consultation date and time you choose, the service you're interested in, and any project notes you share.
• Enquiry details — anything you send us by email, phone or the contact options on the site.
• Technical data — basic information your browser sends automatically, such as your IP address and device type, used to keep the site secure and working.

Why we use it, and our lawful basis

Under UK GDPR we must have a lawful basis for using your data. Ours are:

• To provide our service — creating your account, verifying your email, managing your bookings and giving you access to the client portal (performance of a contract).
• To respond to enquiries and run the business — replying to you, arranging consultations and keeping records (our legitimate interests in running OLB well).
• To keep the site secure — preventing fraudulent sign-ups and abuse (legitimate interests).
• Where the law requires it — for example keeping certain records for tax (legal obligation).

We do not sell your data, and we do not use it for automated decision-making or profiling.

Email verification

When you create an account we send a confirmation link to your email address to check it's really you and to keep automated sign-ups out. You need to confirm your email before you can book a consultation.

Who we share it with

We share data only with the trusted providers that help us run the site, and only so far as they need it:

• Our hosting provider, which runs the website and securely stores the account database on our behalf.
• Our email provider, which sends verification and booking-related emails.

These providers act on our instructions under contract. We may also disclose data if we're legally required to. We never pass your details to advertisers.

How long we keep it

We keep your account and booking data for as long as you have an account with us, and for a reasonable period afterwards to meet our legal and record-keeping obligations. When it's no longer needed, we delete it. You can ask us to close your account and remove your data at any time.

How we protect it

Passwords are stored hashed, never in plain text. Access to the site runs over an encrypted (HTTPS) connection, sessions are protected, and access to the account database is restricted. No system is perfectly secure, but we take reasonable steps to protect your information.

Your rights

Under UK GDPR you have the right to: be told how your data is used; ask for a copy of it; have it corrected or deleted; restrict or object to how we use it; and ask for it in a portable format. To exercise any of these, email us at Info@olbinstallations.co.uk and we'll respond within one month.

If you're unhappy with how we've handled your data you can complain to the ICO at ico.org.uk, though we'd appreciate the chance to put things right first.

Cookie policy

Cookies are small files a website stores on your device. We keep ours to a minimum and don't use advertising or tracking cookies.

• Essential cookies — when you sign in, we set a secure session cookie so the site knows you're logged in. The site doesn't work properly without it, so it doesn't need consent.
• Fonts — we load fonts from Google Fonts to display the site. Your browser contacts Google to fetch them.

We don't currently use analytics or marketing cookies. You can block or delete cookies in your browser settings, but signing in to the portal won't work without the essential session cookie.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last changed shown at the top.
